1. Introduction

SOVREN AI ("Sovren AI Holdings LLC," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the SOVREN AI voice-first sovereign executive platform — including our AI Receptionist, Shadow Board of executive AIs, communications intelligence, scheduling, and related services (the "Service").

By using SOVREN AI, you consent to the data practices described in this policy. If you do not agree with the terms of this Privacy Policy, please do not access or use the Service.

2. Information We Collect

2.1 Account Information

When you register for SOVREN AI, we collect your name, email address, organization name, and account credentials that you provide.

2.2 Mobile Phone Numbers and SMS Consent

When you elect to receive text messages from SOVREN AI, we collect your mobile phone number and record your opt-in consent — including the timestamp and IP address at the time consent was given. Phone numbers are collected only when you affirmatively check the SMS consent box during account registration or in your account settings. Providing a mobile number is optional; declining does not affect your access to other parts of the Service.

2.3 Voice and Communications Data

When you use the AI Receptionist or other voice features, we may collect and process:

  • Inbound call audio and transcripts
  • Caller phone number, call duration, and call metadata
  • AI-generated summaries, call dispositions, and follow-up actions
  • Lead and contact records derived from calls

2.4 Connected Email and Calendar Data

When you connect a Microsoft 365, Google, or IMAP/SMTP mailbox, or a calendar via CalDAV, we process the OAuth tokens or credentials necessary to read and send messages and schedule events on your behalf, plus the message and event metadata required to provide the Service. We do not sell or share this data with third parties for marketing.

2.5 Subscription and Billing Data

Subscription and payment processing is handled through Stripe, Inc. We receive limited billing metadata (last four digits of card, billing country, subscription state) but do not store full payment card numbers on our systems.

2.6 Usage Data

We automatically collect information about how you interact with the Service, including IP address, browser type, pages visited, time spent on pages, and other diagnostic data.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the AI Receptionist, Shadow Board, voice, and communications features of the Service
  • Deliver appointment reminders, missed-call summaries, billing notifications, and other service messages you have consented to receive
  • Process subscription payments and manage your account
  • Generate executive briefings, lead intelligence, and operational summaries on your behalf
  • Respond to inquiries and provide customer support
  • Detect, prevent, and address fraud, abuse, and security threats
  • Comply with legal obligations

4. SMS / Text Message Communications

If you have opted in to SMS communications, SOVREN AI will send transactional and account-related text messages to the mobile phone number you provided. SMS service is delivered via our messaging partner Twilio, Inc.

4.1 Categories of Messages

  • Missed-call alerts with AI-generated caller summaries from your AI Receptionist
  • Appointment confirmations and reminders
  • Account verification and security codes
  • Subscription billing confirmations and payment alerts
  • Service status and operational notifications
  • Lead capture notifications when a new contact is recorded by your AI Receptionist

4.2 Frequency and Carrier Charges

Message frequency varies based on activity on your account. Message and data rates may apply from your mobile carrier. SOVREN AI does not charge a separate fee for SMS messages.

4.3 Opting Out and Help

You may opt out at any time by replying STOP (or any of STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, OPTOUT) to any text message you receive from SOVREN AI. Once you opt out, we will send a single confirmation message and will not send further SMS messages unless you re-subscribe by replying START. 4.4 No Third-Party Sharing of Mobile Information

SOVREN AI does not sell, rent, lease, share, or otherwise transfer mobile phone numbers, SMS opt-in data, or consent records to any third parties or affiliates for marketing, promotional, or any other purposes. Your mobile number and SMS consent are used solely to deliver the messages described above. We share phone numbers only with our messaging carrier (Twilio) for the sole purpose of transmitting the messages you have consented to receive.

5. Data Sharing and Disclosure

We do not sell your personal data. We share information only in the following circumstances:

  • Service Providers: With trusted third-party vendors who assist in operating the Service, subject to confidentiality obligations. Current providers include Twilio (SMS and voice telephony), Stripe (payments), ElevenLabs (text-to-speech voice synthesis), Unipile (managed email and calendar connectors), and our cloud infrastructure providers (Linode/Akamai, Backblaze, Cloudflare).
  • Legal Requirements: When required by law, subpoena, or to protect our rights, property, or safety, or that of others.
  • Business Transfers: In connection with a merger, acquisition, financing, or sale of all or substantially all of our assets, with notice to affected users where practicable.

We do not share, sell, or transfer phone numbers or SMS opt-in records to any third party for marketing or promotional purposes. See Section 4.4.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service to you. Mobile phone numbers and SMS consent records are retained while your opt-in is active and are deleted within 30 days after you opt out, except where retention is required by law (for example, to demonstrate prior consent in response to a regulatory inquiry).

Voice recordings and transcripts are retained per your subscription tier's retention setting, and may be deleted earlier on request.

7. Data Deletion

You have the right to request deletion of your personal data at any time. To request data deletion:

  • Reply STOP to any SMS message to remove your phone number from our SMS lists
  • Disconnect any connected mailbox or calendar from the Settings page in your SOVREN AI dashboard
  • Contact us at privacy@sovrenai.io to request full account deletion
  • Visit our data deletion page at sovrenai.io/data-deletion

Upon receiving a deletion request, we will delete your personal data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention, dispute resolution).

8. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encryption of data in transit using TLS/SSL
  • Encryption of sensitive data at rest
  • Secure storage of access tokens and credentials
  • Role-based access controls and authentication requirements
  • Regular security audits and vulnerability assessments

9. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate personal data
  • Deletion: Request deletion of your personal data
  • Portability: Request a copy of your data in a portable format
  • Objection: Object to certain processing of your personal data
  • Withdrawal of Consent: Withdraw SMS consent (reply STOP), email/calendar consent (disconnect from Settings), or general consent (delete your account) at any time

10. Third-Party Services

The Service relies on third-party providers including Twilio (telephony and SMS), Stripe (payments), ElevenLabs (voice synthesis), Unipile (email and calendar connectors), and our infrastructure providers (Linode/Akamai, Backblaze, Cloudflare). These providers have their own privacy policies governing data they process on our behalf, and we encourage you to review them. SOVREN AI is responsible for its own use of your data; we are not responsible for the privacy practices of third-party services that you may interact with directly outside the Service.

11. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
